Room Reservation Policies:  Use of auditoria, art discussion, and seminar-conference rooms

 

The Conrad A. Elvehjem Building was a gift to the university from alumni and friends through the University of Wisconsin Foundation. Use of the building by university students, faculty, and staff, or the general public must conform to Chazen Museum of Art and university policies, rules, and regulations.

Control of Scheduling

On July 20, 1967, the Elvehjem Art Center (now the Chazen Museum of Art) was approved as the controlling agency for space and use of its building. Thus, the Chazen Museum of Art is responsible for the reserving, scheduling, and use of its auditoria, art discussion and seminar-conference rooms and other areas. No other agency may assign or control these facilities. It is understood that the auditoria and classrooms of the Elvehjem Building are primarily available for the programs and classes of the Department of Art History and the Chazen Museum of Art. All use of the building or its facilities is governed by the scheduling policies of the Chazen Museum of Art.

Requests from University Departments or Organizations

The Elvehjem Building facilities are reserved only for visual arts-related activities. University departments and units as well as non-university organizations may request use of the Elvehjem auditoria, art discussion, or seminar-conference rooms for special lectures, symposia, etc. (but not for normal classroom use) that specifically relate to the visual arts. Room or equipment fees may apply. Most room use fees are waived for UW-sponsored visual arts programs when a department chair or director endorses sponsorship of the program and the department assumes responsibility for the reserved space including all associated equipment or staffing fees or charges.

General Conditions

If, in the opinion of the Chazen Museum of Art, the use of building facilities by a university or non-university organization involves unusual problems of security detrimental to the safety and care of the art collection, the building, or its contents, permission to use the building or its facilities will be denied.

The sponsoring organization is responsible for returning the area used to its original condition and for any extraordinary expenses to the Chazen Museum of Art (e.g. janitorial service, security officers, labor, etc.) associated with the use of the facilities. The sponsoring organization will be billed directly for any such expenses.

On-site fundraising events, admission charges, or donations for events and programs are not allowed. Sales of memberships or publications are not allowed.

Food and Beverages

Food and beverages are not allowed in the conference rooms, classrooms, auditoria, hallways, library or galleries. Prohibiting food and beverages in these areas is part of the Chazen's Pest Management program, which actively protects our valuable art collection and the library's books from insect and rodent infestation. Your help will assist us in our efforts to preserve the museum's collection. This rule will be strictly enforced by building security, Chazen Museum staff, and university faculty. The agent for the sponsoring organization is responsible for communicating this information to guests.

Requesting Room Reservations

  • Inquiries about room availability should be directed to the museum receptionist.
  • Room Reservation Request forms must be submitted to the receptionist. Please be sure to fill out the form completely and include information about the nature of the event, title of lecture or film, lecturer's name, program announcement, etc. Note that the chair or director of a requesting university department must be listed on the form. S/he will be notified that a room reservation was made on his or her behalf.
  • Requests should be submitted as early as possible.
  • Submission of a request does not guarantee the reservation of the room. All requests must be approved by the Assistant Director of the Chazen Museum of Art.
  • Ordinarily, reservations for the auditoria or seminar rooms will not be considered more than six months in advance of the program date.
  • After the completed form has been submitted, availability will be confirmed. If the room is available at the date and time requested and the event is consistent with Chazen policies, the request will be approved.
  • Once approved, confirmation and information about the event will be distributed to the requester, Chazen Security, the Art History Visual Resources Curator, and the Chazen Receptionist.

Changing or Cancelling a Room Reservation

  • Any and all changes must be brought to the attention of the Receptionist and may require filling out a new Room Reservation form.
  • Changes in room or time can be made any time prior to the day of the event. The Chazen cannot accommodate changes in room or time on the day of the event.
  • Cancellations must be submitted to the Receptionist. Please be sure to cancel so that others can use the room.
  • Unofficial "swapping" of rooms is unacceptable for reasons of security due to the posting of events on the Chazen web site, and display signs in the museum.

Audiovisual Equipment

With the exception of built-in projection screens, all audiovisual equipment must be supplied by the group reserving the room. Remote controls for slide projectors should be attached to an extension cord for a total of 25'. For instruction on setup, please call Anne Lambert at 263-4421 well ahead of your meeting date.
